Terms of service

The rules for using Vialo. Last updated: October 30, 2026.

These terms are the contract between you and the operator of Vialo, whose legal details you can request through the contact form and which are stated when contracting ("Vialo"), for the website and platform used to manage research labs. By accepting them or using Vialo you're bound by them. If you contract for or administer a lab on behalf of an institution, you state that you can bind it, and these terms also apply to it.

The service

Vialo lets you record samples, equipment, supplies, protocols, budgets, services for third parties, temperatures and other lab data, with role-based permissions, a change history, an API and an optional AI assistant. Each lab turns on the modules its plan includes.

Accounts and access

  • You get in by invitation from a lab's admins, with email and password or with Google. Vialo doesn't offer open sign-up.
  • You're responsible for keeping your access and the tokens you create safe. If you think someone used your account, tell us and your lab's admins.
  • Each lab's admins decide who gets in and with what role, and can remove access at any time.

Data belongs to the lab

What each lab records is its own. Vialo only processes it to provide the service, under the privacy policy and the data processing agreement, which is part of these terms for each lab. The lab can export its data at any time, including during the trial and while read-only.

Patient and personal data

The lab is responsible for having a legal basis to record personal data, especially health data or data about research participants, and for meeting what the law, its ethics committees and its institution require. We recommend using codes instead of data that directly identifies a person.

Acceptable use

You may not use Vialo to:

  • upload data you have no right to use;
  • try to access other labs' data or get around permissions;
  • overload the platform, for example with automated requests beyond the API limits;
  • copy the service to offer a competing one, or test its security without our written authorization;
  • do anything illegal.

If someone does, we may suspend their access. Except in urgent cases, we warn first and give time to fix it.

Trial

The trial lasts 15 days and needs no card. During the trial the service is provided as is. If it ends without a plan, the lab becomes read-only: everything can be seen, searched and exported, but nothing can be added.

Plans, prices and payment

  • The plan, its price, currency and period are stated before contracting. Pricing is per lab.
  • Paid plans renew automatically for the same period until canceled. Payments are processed by a third party: Vialo doesn't store your card details.
  • We may change prices with 30 days' notice. The new price applies from the next renewal; if you disagree, you can cancel the plan before then.
  • If a payment fails, we notify you and retry. If it remains unpaid, the lab becomes read-only until settled; nothing is deleted for that reason without prior notice.
  • Amounts don't include applicable taxes. Invoices are issued using the tax details you give us.

Cancellation and withdrawal

  • A plan can be canceled at any time through the same channel used to contract or through the contact form. It stays active until the end of the period already paid, and partial periods aren't refunded, except as required by law.
  • If you contract as a consumer in Argentina, you can withdraw within 10 calendar days, at no cost and without giving a reason, by the same means or through the contact form.

When the service ends

After the service ends, the lab stays read-only for at least 30 days so it can export its data. After that, or sooner if the lab's admins ask in writing, we delete it from the platform, with its attachments and history. Encrypted backups delete themselves within the following 90 days. We may keep what the law requires us to, such as billing data.

Intellectual property

Vialo, its code, brand and design belong to their owners. We give you a limited, non-exclusive, non-transferable right to use it while the service lasts. If you send us ideas or suggestions, we may use them with no obligation to you.

Confidentiality

Each party protects the other's non-public information as it protects its own, and uses it only for this service. This doesn't cover what is already public, what is legitimately received from someone else, or what an authority orders disclosed; in that case we notify you if the law allows.

Availability and support

We do our best to keep Vialo running and never lose data, and we make daily backups, but there may be interruptions for maintenance or failures, and we don't guarantee an availability level unless agreed in writing. Support is provided through the contact form and inside the platform. Vialo doesn't replace the records your lab is required to keep by regulation, nor its quality management system, and it isn't a medical product or meant for clinical decisions.

Third-party services

If you connect an AI assistant or another service with a token, that third party sees what the token allows, under its own terms. Vialo isn't liable for what that third party does or for an assistant's answers: review them before using them.

Liability

To the extent the law allows, Vialo isn't liable for indirect damages, lost profits, loss of samples or research results, or decisions made based on the recorded data. Vialo's total liability for a claim is limited to what the lab paid in the previous 12 months. Nothing here limits the rights the law gives someone contracting as a consumer, or liability for willful misconduct or gross negligence.

Changes

We may update these terms. We post the new version here with its date. If the change is significant, we announce it in the platform and ask you to accept it; if you disagree, you can export your data and stop using the service.

Contact, law and jurisdiction

For any question, write to us through the contact form. These terms are governed by the laws of the Argentine Republic. Any dispute goes to the ordinary courts of the City of Buenos Aires, unless the law gives a consumer the right to claim elsewhere. The Spanish version prevails if there are differences with this translation.
